History & Reports

Use the History & Reports dashboard (/org/history) to:

  • Audit task actions (creation, status changes, approvals/rejections)
  • Review timesheet submission approvals/rejections
  • Export CSV/JSON for compliance, payroll ops, or internal reporting

The page is organized into three tabs with shared controls (like date range and export): Statistics, Task History, and Daily Submission History.

Statistics Tab

The Statistics tab gives a high-level, org-wide snapshot.

Top Metrics

At the top of the page you’ll see four headline metrics. These are all-time counts for your organization (not limited to the selected date range):

Tasks Completed

Total tasks in COMPLETED status.

Total Tasks

Total tasks created in your organization.

Submissions Approved

Total approved daily submissions (timesheets).

Pending Review

Total tasks currently waiting in IN_REVIEW.

Date Range Selector

In the top-right of the tab bar, select Last 7 / 30 / 90 days to change the time window used by the charts.

Activity Timeline

The Activity Timeline chart provides a daily breakdown over the selected date range, typically including:

  • Tasks created
  • Tasks completed
  • Submissions approved
  • Submissions pending

Use this view to spot spikes (e.g., large delivery days) and patterns (e.g., review pileups before milestones).

Task Status Distribution

The Task Status Distribution bar chart summarizes key outcomes:

  • Completed tasks
  • Tasks pending review (in IN_REVIEW)
  • Total rejections recorded in history

Submission Trend

The Submission Trend line chart shows daily submission volume (approved + pending) over time.

Task History Tab

The Task History tab is your audit trail for task actions. Entries are grouped by task, and each task row can be expanded into a detailed timeline.

Controls

  • Export dropdown
    • Export Current View (CSV / JSON)
    • Super Admin Only: Export All Records (CSV / JSON)
  • Limit selector: Last 25 / 50 / 100 / 200 / 500 entries

What You See in Each Task Group

Each task group header includes:

  • Task title (and optional task code badge)
  • A label for the latest action (Created, Status Changed, Approved, Rejected)
  • Activity count (e.g., 7 activities)
  • Latest activity summary/comment
  • Actor and timestamp (who did it, when)
  • Current assignee (when available)

Expanded Activity Timeline

When you expand a task, you’ll see a timeline with:

  • Action badges (Created / Status Changed / Approved / Rejected)
  • Status transitions shown as FROM → TO when applicable
  • Actor and timestamp on each entry

This is the best place to answer: “What happened to this task, in what order, and who touched it?”

Tip: Use task codes

If your workflow uses unique task codes, they appear in the history headers and exports, making it easier to reconcile activity with external systems.

Daily Submission History Tab

The Daily Submission History tab tracks timesheet-style submissions (often tied to Jira issues) with a full approval/rejection audit trail.

Controls

  • Export dropdown
    • Export Current View (CSV / JSON)
    • Super Admin Only: Export All Records (CSV / JSON)
  • Status filter: All / PENDING / APPROVED / REJECTED
  • Limit selector: Last 25 / 50 / 100 / 200 / 500 entries

What Each Submission Shows

Each submission row surfaces:

  • Jira issue key (and optional submission code)
  • Status badge (PENDING / APPROVED / REJECTED)
  • Time logged (when present)
  • Issue summary/description
  • Submitter identity
  • Work date (date started)
  • Submitted date

Expanding a submission reveals its Submission Audit Trail, including:

  • The original submission and any submitter comment
  • Approval or rejection details
  • Rejection reason (when applicable)
  • Approver identity and timestamp (when applicable)
  • Tokens granted (only when approved and rewards exist)

Exporting Data

For compliance, auditing, or external reporting, you can export your organization’s history data.

  1. Navigate to either the Task History or Daily Submission History tab.

  2. Click the “Export” button in the top right corner of the section.

  3. Choose your preferred format: CSV (for spreadsheets) or JSON (for programmatic use).

  4. Exports are scoped as follows:

    • Export Current View respects the current filters and the selected limit.
    • Export All Records (Super Admin only) exports the entire org dataset.

Accountability & Insights

Use the history logs and export features to identify stalled tasks, frequent re-assignments, or bottlenecks in your approval pipeline.
